We are seeking a confident and proactive Project Administration Officer
to support the early stages of a major construction project within a local government environment in Melbourne’s south-east.
This is a fantastic opportunity for a highly organised administration professional who enjoys working in a project environment and supporting senior leaders and project teams to keep things running smoothly.
Working closely with the Infrastructure and Project Delivery team, you will play a key role in coordinating administrative processes, supporting project reporting, and ensuring the team stays on track with key milestones.
Key Responsibilities
- Coordinate meetings, prepare agendas and take detailed meeting minutes
- Track actions and follow up with stakeholders to ensure progress
- Provide high-level administrative and project support to senior leadership
- Assist with preparation of presentations, reports and project documentation
- Conduct research and gather information to support project decision making
- Support financial administration including purchase orders, invoices and budget tracking
- Maintain project documentation and records across corporate systems
- Assist the team- executive assistant experience would be perfect.
- Strong administration experience, ideally within a project or infrastructure environment
- Local Council Experience
- Confident communicator with excellent written and organisational skills
- Highly proactive and self-driven with the ability to work independently
- Strong attention to detail and ability to manage multiple priorities
- Advanced Microsoft Office skills (Word, Excel, PowerPoint)
- Experience with project systems or document management platforms (Procore highly desirable)
- Positive attitude and team-focused approach
